Why double bookings happen
Most hosts link Airbnb and Booking.com with iCal. Each site downloads the other calendar on its own schedule, so a booking made on Booking.com can stay open on Airbnb until the next refresh. If a second guest books the same nights in that gap, you have to cancel one of them.
Host cancellations cost more than one booking. Platforms can charge fees, block the dates and push your listing down in search.
iCal links compared with API sync
| iCal links | API channel manager | |
|---|---|---|
| How fast a booking closes the other site | On the next refresh, often hours | Seconds |
| Rates and minimum stay | Not synced, set on each site | Set once, pushed to every site |
| Guest messages | Stay on each site | One inbox |
| Cost | Free | Paid, usually per unit |
| Good for | One or two units with low demand | Three units or more, or any busy calendar |
Five rules for one clean calendar
- Keep one master calendar. Block owner stays, maintenance and cleaning buffers there, never directly on Airbnb or Booking.com.
- Use the same minimum stay everywhere. Different rules on each site leave one-night gaps that only one site can sell.
- Add a cleaning buffer on tight turnovers. If your team needs more than the gap between check-out and check-in, block the night.
- Check the sync log once a week. A disconnected listing looks normal until two guests arrive.
- Map every listing once and never duplicate it. Two listings for the same unit on one site doubles your risk.
What to do if a double booking happens
Contact the platform support team before you cancel. Offer the guest you move an equal or better unit on the same dates, and keep the conversation on the platform so it is on record.
